Highlight reel

Top KPIs we track

Dentists do not need twenty charts on day one. These five metrics from our ops library show cash, schedule discipline, receivables, and growth—the highlight reel we lead with. Live daily briefs emphasize yesterday’s cash and schedule risk; deeper periods surface the full set. The library is broader than these five.

  1. 01

    Net production

    production.net

    Sample $142,800

    What it is

Completed procedure fees in the period, minus production adjustments and write-offs that belong to production (not collections).

    Why it matters

Gross alone can mislead. Net production is the cleanest view of clinical output your schedule actually delivered.

  2. 02

    Collection ratio

    collections.ratio

    Sample 94.2%

    What it is

Collections divided by net production over a trailing window (typically three months), so payment lag does not distort a single month.

    Why it matters

Shows whether money produced is actually coming in—without confusing a busy production month with a collections problem.

  3. 03

    Broken / no-show rate

    appointments.broken_rate

    Sample 6.1%

    What it is

Broken, no-show, and late-cancel appointments divided by broken plus completed visits (configurable status list).

    Why it matters

Empty chairs are lost production. A rising broken rate is usually the fastest lever before adding hours or marketing spend.

  4. 04

    Days in AR

    ar.days_in_ar

    Sample 38

    What it is

Open accounts receivable divided by average daily net production (trailing), expressed as days of production sitting unpaid.

    Why it matters

Compresses aging into one number owners can track week to week—alongside detailed aging when you dig in.

  5. 05

    New patients

    patients.new_count

    Sample 24

    What it is

Patients whose first visit (or first recorded appointment) falls in the reporting window.

    Why it matters

Growth and hygiene pipeline depend on new starts. Paired with production and broken rate, it shows whether demand is healthy.
